Bursary Application Checklist – The One-Folder Method (2026/2027)

    Many bursary applications are not rejected because students “don’t qualify” — they’re rejected because the application pack is incomplete, messy, unreadable, or submitted incorrectly. This guide gives you a simple system (the One-Folder Method) so your application is easy to verify and hard to reject.

    The One-Folder Method

    Create one main folder on your phone/laptop for bursary applications. Inside it, create these subfolders:

    • 01_ID
    • 02_Academics
    • 03_Financial
    • 04_Proof_of_Address
    • 05_Motivation_and_CV
    • 06_Forms
    • 07_Submission

    The “Core Documents” checklist

    Different sponsors ask for different items, but these are commonly requested. Always confirm requirements on the bursary advert before submitting.

    Identity

    • Certified copy of South African ID (or birth certificate if applicable)
    • Certified copies of parent/guardian ID(s) if requested

    Academics

    • Latest results (Matric statement / university transcript / TVET statement)
    • Proof of registration or acceptance (if already admitted)

    Financial proof (commonly requested)

    • Proof of income (payslips) OR proof of unemployment (where required)
    • SASSA letter (if applicable)
    • Death certificate (if a parent is deceased — only if requested)

    Proof of address

    • Municipal account or letter showing address (as required)

    Motivation and supporting docs

    • Motivation letter (tailored)
    • Short CV (1 page works well)
    • Reference letter(s) if requested

    Certified copies and affidavits (simple rules)

    • If a bursary requires certified copies, certify the copies from the original documents, and keep them neat and readable.
    • If a bursary requires an affidavit (e.g., unemployment/no income), write it clearly and have it sworn/affirmed with a Commissioner of Oaths.

    File naming system (this alone reduces mistakes)

    Use this format:

    SURNAME-Initial_Document_YYYYMMDD.pdf

    Examples:

    • DLAMINI-T_ID_20260204.pdf
    • DLAMINI-T_Results_20260204.pdf
    • DLAMINI-T_MotivationLetter_20260204.pdf

    Closing date

    Rule: submit at least 48 hours before the deadline whenever possible. Many sponsors close early when volumes are high.

    How to submit without getting rejected

    • Follow the exact submission method (email vs portal vs hand delivery).
    • Use the exact subject line if the advert specifies one.
    • Send one clean PDF pack if allowed (see the “One PDF” guide on this site).
    • Keep your email short and professional (include name, ID number if requested, and the bursary name).

    Common mistakes to avoid

    • Uploading blurry photos of documents instead of clear scans
    • Submitting the wrong year’s form
    • Forgetting to include results or proof of registration
    • Renaming files as “scan001.pdf” (makes verification harder)
    • Ignoring the required subject line or reference number
